Privacy Policy
How we handle personal information.
Effective September 6, 2026 · Last updated September 8, 2026
This policy explains how Professional Promotions collects, uses and discloses personal information through professionalpromo.com and its inquiry forms.
Information we collect
Our forms may collect your name, company or organization, email, optional phone number and the inquiry or project details you choose to provide. Quote and project forms may also collect categories, quantities, dates, budget range, artwork status and delivery context. Please do not submit payment-card, government-identification, health or other sensitive personal information.
The website uses a temporary, essential session cookie to issue and validate form-security tokens. Our hosting environment may also create standard technical logs, such as IP address, browser or device information, requested pages, and dates and times. We use technical information to operate, secure and troubleshoot the website and prevent misuse.
Form security with Cloudflare Turnstile
Our inquiry forms use Cloudflare Turnstile to help distinguish genuine visitors from automated submissions. Cloudflare processes technical information such as your IP address, browser and device signals for this security check. Our server sends Cloudflare the verification token, not your inquiry fields, to confirm the result before sending your message. Pre-clearance is disabled; we do not use Turnstile to issue a clearance cookie for other website challenges.
Cloudflare may process this information outside Canada. Learn more in Cloudflare’s Turnstile Privacy Addendum. If the security check creates an accessibility barrier, you may write to us at the postal address below.
Why we collect and use it
We use personal information to review and respond to inquiries, prepare requested options or pricing, coordinate approved work, maintain necessary business records, protect the website and forms, and meet legal obligations. We collect only information reasonably needed for these purposes. We do not use inquiry details for marketing without a separate choice or permission.
Sharing and service providers
Information may be available to authorized members of our team and service providers that host the website, deliver email or support website security. Relevant project information may also be shared with suppliers or fulfilment partners when needed to prepare a requested quote or complete work you authorize. A provider may process information in another jurisdiction, where it can be subject to that jurisdiction’s laws. We may disclose information when required by law. We do not sell or rent personal information.
Retention and safeguards
We keep personal information only as long as reasonably needed for the purposes described above and for applicable business-record and legal requirements, after which it is securely deleted or disposed of. We use administrative and technical safeguards appropriate to the information, although no internet transmission or storage system is completely risk-free.
Analytics
The current website does not send form contents to analytics and does not activate third-party advertising or analytics services. If measurement tools are added later, this policy and any required consent choices will be updated first.
Your choices and rights
Depending on applicable law, you may ask about the personal information we hold about you, request access or correction, withdraw consent subject to legal or contractual restrictions, or raise a concern. We may need to verify your identity before completing a request. Withdrawing consent may limit our ability to respond or provide a requested service.
Privacy questions or complaints
Use the Contact form and choose “Privacy request or concern,” or write to Unit 5, Office 783B, 145 Church Street, Toronto, Ontario M5B 1Y4, Canada. We will review your request and explain the next steps. If a concern remains unresolved, you may contact the Office of the Privacy Commissioner of Canada.
Changes
We may update this policy when our practices or legal obligations change. The date at the top will show the most recent update.
